1 - Release Notes Version 5.0.0.0

Release 5.0.0.0 is a major version release covering a number of functionality increases. Major changes have been implemented specifically in the following areas:

  • General Interface
  • Customer Manager
  • Report Centre
  • TPOS

There has also been major changes in the underlying System and Facility Navigator configuration modules to support the changes.

It is recommended that in the case of upgrading to a major release, you should consider running a test installation on at least one machine before upgrading en-masse. QVisual is happy to support customers if they do not know how to set up a test system. Essentially, this requires implementing:

  • A test database which is a clone of the live database, which is then upgraded to this latest version (5.0.0.0)
  • A test client is then installed on a PC and using the configuration utility, the new client is connected to the test database.
  • The system is then ready to use and test.
  • Once happy with the new system, the upgrade of the production system can then take place.
  • As is always good practice, ICT staff who are undertaking the upgrade should ensure that there is always a rollback plan to cover any problems.

Download the software version 5.0.0.0. Double click the file to extract it to a folder. After extraction, the download consists of the following files:

  • setup.exe (client update installer)
  • dbupdate.exe (database update utility)
  • update.dat (encrypted SQL Server Script)
  • Note:- when running the database update (dbupdate.exe), both dbupdate.exe and update.dat must be in the same folder and we recommend that folder be on the database server. Do not run the upgrade over a network.

Every effort has been taken to ensure the release notes are as user friendly as possible.

1.1 - Administration

Administration includes both Direct Debit and Invoicing.

Process Rejection File            (D#85)
:- LogiQ Path: Direct Debit > Direct Debits History\Rejections > Process Rejection File:
Fixed an error that could occur when user tried to process the Rejection File in Excel Format. The error would occur if the user would select all rows (including empty rows) from Excel sheet to process. Note: LogiQ will treat the empty row as an Error entry, so please ensure to provide the valid data.

Rejection File Wizard           (D#99)

This wizard received a couple of fixes -

  1. Modified user entries validation for the MS Excel file format to present warning or error messages when the file format is incorrect or the worksheet name is missing.
  2. Modified to read the correct customer reference if the data is padded right with blanks.
  3. Fixed an error that could occur if the file format had been set as MS EXCEL, but the text delimeter was missing.
  4. Fixed an error that would occur when the rejection file path length was more then 50 characters.

Direct Debit Rejection problem when ordering items in List View           (D#129)

Incorrect customer can be rejected when user tries to reject direct debit transactions) after changing the default sorting order. You can now click on any column header to change the sort order.

Rejection File Wizard

A new parameter Maximum Number of Errors has been added to indicate the maximum number of errors allowed when reading the file. This would allow to process the files with a summary or any extra information.

Invoicing ATO modification           (F#170)

Invoice format has been modified to comply with ATO regulations.

Invoice Message          (F#170)

Added option to display a customer message on the Invoice. Invoice Template settings - Customer Message and Trading Term message. A User with admin rights or higher can enter the messages. There is also an option to copy the settings from another venue.

Invoice printed with incorrect Venue details            (F#165)

It was possible to print an Invoice with incorrect Venue details when switching Venues, this has been fixed.

Biller Name for the invoices           (F#299)

Added the ability to have the Biller Name on an Invoice if it was specified in Invoice payment method details. If the Biller Name is omitted, the Customer Name will be used.

This version of LogiQ introduces a great new feature - the Favourites tab. The User can Add / Remove their most commonly used reports to this tab for ease of use. The Favourites tab will even remember the last tab the User was working on and select it on their next login. The Favourites tab also has the option to add Notes for the reports and to locate the tab the report is normally found in.

A new report Customer Next Contact Date has been included to complement the modified Next Contact Date feature.

Members Birthday report           (F#146)

Fixed: Visits for the deleted memberships were included into the report.
Added a new parameter Count Total number of Visits for Customer. This parameter allows user to select members for the report based on the total number of visits for all memberships for a customer. If this parameter is set to False, the selection will be made based on a number of visits for each membership.
Also added a new report column Total number of Customer Visits.
The Help text has been modified to reflect these changes.
Transactions Analysis report           (F#163)

This report had a bug that caused the duration days column to drop one day off, this has been fixed. The Calculation of Duration (in Days), Days Left, Cost Per Day and Owed To Customer have all been checked and fixed.
Price Band Analysis report           (D#79)

This report had a number of bug fixes.
  1. Fixed - Duplicated entries have been removed for Void and Refund transactions.
  2. Fixed - Added Transaction Type Description (and a column).
  3. Fixed - Reconciled and unreconciled transaction types will be displayed for the Casual Sales type.
  4. Fixed - Transaction Count column now shows the correct number of transactions for the corresponding group.
  5. Fixed - Added a new column Transaction Quantity to display the total transaction quantity for a given group.
Run-time Report error - 'Printer is not ready when opening Parameters dialog'           (D#100)

An error could occur when the user tried to open a Report Parameters dialog and a Printer had not been setup for the workstation. This has been changed to allow to run and view the report, without a printer been setup for the workstation.
Membership Detail List report           (D#101)

Fixed bug that stopped this report from displaying memberships with Lump Sum payment type.

Fixed a bug that forced a column to show data without a header name. The information in this column relates to the Course Usage and Override Usage types. Course Usage type data has been excluded from this column (there is a dedicated Course Admissions on this report). Column name Override will be displayed.

Member visit detail report           (D#177)

This report has been modified: Added columns Gate Name and Non-Reporting (Yes\No). Also added report parameter Exclude Non-Reporting gate visits. The default value of this parameter is TRUE.
Membership Details report Runtime error           (D#179)

A runtime error could occur if the user had selected all Venue and Membership type parameters. This report was changed to allow the user to select all parameters from the list. The maximum parameter length has been increased from 2000 up to 8000 characters. If the total number of the selected parameters would be more than the maximum allowed, the user message would be presented "Too many [ParameterName] parameters specified. Please reduce the number of parameters or select ALL.". This means that a user can always select ALL parameters to run a report or to select the limited number of parameters (number is ~ 1000 ).

The Visits Analysis report had a bug that caused it to not show Membership and Single Use Pass visits if all Gates weren't selected as a search option. This has been fixed. Also, the 'Select All' checkbox under the Casual Activities list parameter would be greyed out if there was only 'TPOS' listed as a gate in the 'Select Gates' list. This has also been fixed.

New Memberships report - not in alphabetical order           (D#195)

The New Memberships report was not in alphabetical order as intended. This has been fixed.

General Notes on Reports

Please note that almost all LogiQ reports export to a CSV file. A CSV file is a common data format mainly for mail merge, but also used for other applications. The data can be exported from most reports after running the report and then clicking on the 'Export Details' button. The Merge data is extremely comprehensive and has many more items of data than appear in the 'Crystal' report interface.
Also, whenever a new report is added it can be seen in the list of reports but is not accessible by default. If you wish to enable these new reports please refer to System Navigator > User Groups > Permissions.

1.3 - System Navigator

Sounds
System Navigator > Workstations:
LogiQ has been enhanced with the addition of sounds. Two sounds are provided with LogiQ - Happy Birthday and No Access, with additional sounds able to be added by the user. Happy Birthday will play if a customer with their birthdate set in Customer Manager is entered in Access Control or TPOS on that date. No Access will play if the customer entered in Access Control has no valid reason or is denied entry.
Venue properties - Address is not displayed           (D#82)
System Navigator > Venue Properties:
The State listed in the Venue's address would not be displayed when the user switched between venues using the menu. This has been fixed.
Option "Audit System Usage"           (D#83)
System Navigator > General Options > Options:
The option Audit System Usage has been removed as the feature had not been implemented.
Add\Edit printer mapping           (D#84)
System Navigator > Workstation:
The font name was not displayed for the existing mapping. Dialogue has been modified to improve "Font Size" setting processing.

User permissions setup for a new User Group           (D#163)

Fixed a problem where User permissions would not be saved for a new User Group. And with a New database the User group 'Default' didn't have permission to edit System Navigator properties.
Unable to save a Venue logo           (D#172)

Fixed the bug that stopped the desired logo to be selected from a list.
Sessions, Quick Book           (F#166)

Added a new option Session Quick Book time before start(min) to allow user to modify the time before the Session start when using Quick Session booking.
Print a receipt at every customer entry for a Session           (F#168)

Contact Log Labels
System Navigator > Lookup Tables > Contact Log:
A new Lookup table has been introduced: Contacts Log Labels. Contacts Log labels can be applied on Contacts Log entries (refer to Customer Manager or LTS) to help users to manage Contacts Log and/or create the reports.
Print dockets for sales processed in any LogiQ module           (F#155)
System Navigator > General Options > Settings
Added a new setting Print a docket from all modules. This option defines if a docket would be printed for a sale transaction processed in any module other than TPOS: 'Y' indicates a docket will always be printed, 'N' indicates a docket will not be printed, 'Q' indicates the user will be asked if they wish to print a docket.

VirtualPOS and Authorisation type field            (F#320)
System Navigator > General Options > Direct Debit Venue Details:
Added an option to specify the Authorisation Type field for the VirtualPOS credit card file, as referenced in the "Commonwealth Bank - Quick Reference Technical Guide - Focus on: New VirtualPOS BatAuth feature". User may use this feature to specify the Authorisation Type field for VirtualPOS credit card format. Options are:

  1. M = Mail Order
  2. T = Telephone Order
  3. R = Recurring
  4. E = E-commerce
  5. C = Customer Present
The Default option is 'C'.

BSB Import           (F#295)
System Navigator > Tools > BSB Import
The ability to import a file of BSB details has been added to System Navigator. The BSB file can be obtained from Blue Star Print - http://www.bspg.com.au/.
New Membership sale and Add New Membership dialogue           (D#154)
System Navigator > General Options > Settings:
    Permissions to modify the membership sale fees. The following system settings regulate if the membership fees could be changed.
  1. Membership Sale: Admin Fee can be changed
  2. Membership Sale: Joining Fee can be changed
  3. Membership Sale: Pro-rata can be changed
  4. Membership Package Fee change is allowed
  5. Added a new setting 'Membership Sale - Initial Fee options can be changed'. When selected, Initial Fee options (Pay Pro-Rata upfront, Pay First Scheduled Payment upfront and Add Joining & Admin Fee to First DD) can be changed by the user when a membership is being sold. Note this setting would not apply to those options that have been selected (check box ticked) in Facility Navigator.
  6. New Feature -Administrator approval required for membership sale adjustments. If the setting is ticked, only an administrator would be allowed to change the fees (if the change is allowed by the corresponding setting). A non-administrator user would be able to change the fees with the administrator approval by clicking on Get Admin Authority button and entering administrator user name and password. User can click on '?' icon to view the information on fee changes security. Using this utility will be recorded into the LogiQ log (refer to customer Activity log).
Administrator Membership package fee change           (F#249)
A new feature that allows an administrator to change the package price of the memberships on Lump Sum or Variable Cash payment plans. To accommodate this feature the following additional features have been added:
  1. New System Navigator setting Membership Price Change is allowed
  2. New Lookup Table Membership Price Change reason

1.4 - TPOS

Print Docket for Single Use Ticket           (F#149)
Added Price Band description for a Single Use Ticket sale docket.
Customer Profile modifications           (F#164, #330)
There have been a number of changes to the Customer Profile screen.
  1. Removed setting Show Activity Log in TPOS(System Navigator > General Options > Settings). Activity Log can be opened by clicking the Activity Log button on Customer Profile.
  2. Memberships and Decrements Table can now list as many as needed (previously limited to 3 memberships & 5 decrements), and have been enhanced with easy access to their respective management and payment dialogues.
  3. Added a column to the list of customer memberships to display Total Balance for Variable Cash and Term (Deferred payment plan) memberships (it is the total amount customer owes, the payment might be due in future, refer to status). Also, clicking on the 'Membership Balance' column in TPOS profile > Membership List will now display the 'Membership Payments dialogue'.
  4. Added "Last customer visit" details to the Customer Messages.
  5. Added list of Enrolments.
Button Tab setup           (F#165)
Previously the was able to set the Button Tab buttons in TPOS using Setup. This has been changed. Setting the TPOS Tab buttons must now be done in System Navigator.
EFTPos options           (F#167)
The additional payment options, Other 2 & Other 3 have been added to the list of payment options.
Print Decrementing Pass details on docket           (F#185)
Allow to print a Reference Docket for a Decrementing Pass from the Manage Decrementing Pass dialogue.
Customer entry and Birthday           (F#186)
A Customer birthday will be 'celebrated' on customer profile when they are loaded: The Status bar will flash, a Balloon image will be displayed, and a sound can be played.
Receipt printout for Variable Cash sale           (F#242)
The details of a Variable Cash membership will be printed for a membership sale and every TPOS membership payment transaction. This will be a separate document printed at the time of the docket.
TPOS membership sale or joining fee transactions and refund           (F#248)
TPOS will no longer allow the user to process a Refund of a membership sale transaction (not payments, only sale transactions when a new membership has been created in a system). In order to stop this process the user must first process the membership cancellation (entering the reason and refund amount) using the Cancel routine for memberships.

If other types of transactions, ie stock sale, have been created in the same batch, the refund for those transaction would still be allowed.

Refund changes           (F#248)
TPOS Refund procedure has had a major overhaul:

The dialogue has been modified:

  1. Added Totals for the receipt
  2. Added column Refunded to display the amount refunded previously for each transaction
  3. Added Refresh button to reload the transactions from the database for the entered receipt number

    The Refund procedure has been modified:

    1. The refund procedure has been modified with added validation to ensure the refund for the transaction is only for the transaction from the list with Refund Now amount more then zero
    2. Do not allow to refund negative transactions. Do allow to process the refund if Refund Now amount is the same as original amount.
Course Attendance dialogue           (F#263)
Added extra details to the Course Attendance dialogue - Happy Birthday images (see entry '1.11 Miscellaneous/General > LogiQ Interface), Location & Teacher name.
Hire Item errors           (D#65, 67, 69)
Fixed bug - Hire Items allowed to hire when not in stock or incorrect message displayed that the items are not in stock. It was previously possible to sell Hire items from another Venue in TPOS. This has been fixed.

TPOS, Membership Sale, Select correct membership from the list           (D#70)
The TPOS button setting Membership package was not passed to the Add New membership dialogue and the required membership packages was not pre-selected in a list. This has been fixed.
Missing Booking transaction details on docket           (D#71)

Bookings transactions Sale Docket           (D#92)
Added a new System Navigator option "Print Booking details on docket". Enabling this option will print the following details on a Booking sale docket - Customer Name and Number, Booking Date, Start and End Time, Activity name and Location / Area name.
TPOS button type - Customer Schedule           (D#98)
TPOS button type 'Customer Schedule' referred to an Event Manager that has not yet been implemented in the system and has been removed.
Pre-Sale feature           (D#109)
Has been revised:
  1. TPOS Pre-Sale mode can be setup for a User Group in System Navigator. The option has been renamed from "Disable Cash Receipts" to "TPOS Membership Pre-sale mode". It is allowed to give permissions to access TPOS, Customer Manager, Access and Reporting modules but only for a Pre-Sale User group.
  2. Changed text for a static button from "Lay" to "Pre-Sale"; text would be displayed only for a User from "TPOS Membership Pre-sale mode" User Group.
  3. Changed a caption on TPOS screen from "Layaway User" to "Membership Pre-sale mode".
  4. Added label "==Pre-sale==" for the pre-sale memberships in the Customer Profile report (Print Customer Profile).
  5. The outstanding Pre-sale transactions would not be loaded in TOPS if user is in Pre-sale mode. The warning message will be presented "This customer has outstanding Pre-Sale transactions."
  6. The outstanding Pre-sale transactions would be loaded in TOPS if user is in any mode other then Pre-sale mode. A warning message will be presented "This customer has outstanding transactions that must be paid at reception."

Sundry Item Sale           (D#112)
Fixed:
1. There were no recorded GST Code and GST Amounts for the Sundry Item sale transactions.
2. The history of sales was not recorded for Sundry Item sale button.
Session Booking with current payment amount $0.00           (D#124)
LogiQ would not create a transaction for a Session Booking if the current payment amount was $0.00. This has been fixed: A transaction will always be created for a Session Booking.
Membership Sale and cancelling Admin fee transaction
When a User cancelled an Admin Fee transaction from the set of membership sale transactions the transaction was not processed but membership details would show it as paid. This has been fixed.
TPOS Membership payments transactions           (D#135)
There have been some major changes to this area.
  1. The Customer Payment Schedule dialogue has been renamed Membership Payments
  2. The TPOS membership payments procedures has been revised:
  3. The customer outstanding payments are displayed in a list (Outstanding Payments). We do not display the details of membership that user has selected from the calling dialogue Customer Status. To view the membership details of any payment from the list double-click on the entry or click on button 'Details'.
  4. Total balance displayed is the total outstanding current balance for a customer (payment schedules + variable cash).
  5. To display payments due to be paid in the future tick Show Future Payments box.
  6. The continuous memberships do not have future payment schedules recorded in a system. The next future payment is generated by the DD Run. It is allowed to create and pay for the future Direct Debit payments: refer to Continuous memberships section. Select the membership from the list presented and click on button Generate payments.The dialogue Schedule Payments will open. Enter the 'Number of Installments to Generate' and click OK. The future payments will be generated.
  7. Added link to Customer Payment schedule - click on button View all Payment Schedules.
Variable cash membership REFUND and VOID           (D#148)
The variable cash memberships details 'Amount Paid' would not be updated after the refund or void of the payment transaction. This has been fixed. Also, minor interface changes
  1. List of transaction backcolour changed from grey to white
  2. Refund entry fields to yellow.
New Membership sale and Add New Membership dialogue           (D#154)
There have been some major fixes in this area.
  1. The existent membership cost calculation sample has been removed. Added a button View Sample Membership to allow user to use Add New membership dialogue in read-only mode.

  1. New style; added Icons, Colours, and altered layout
  2. Added Payment Plan duration column to the list of payment plans.
  3. Loading payment plans list and Membership Package Details are now faster.
  4. Removed the option "Add Initial Fee to first DD"

    Some general changes:
  1. Sale Status must be selected. The default value for the Sale type would be set to New Member. Membership cost calculation details (with the settings description) will be saved.
  2. User must select the Fixed Term Start date. Added validation for the Start Date - Fixed Term Start and End dates. Fixed Deferred plan number of payments and cost calculation. It is possible to change the package fee but note - if the fixed term membership setting 'Always charge full Package Fee' is set to False (un-ticked), the Pro-rata would be calculated based on the Sale Fee as follows: [Sale Fee] × ([Days Purchased] ÷ [Total Days in Fixed Term membership]).
  3. Lump Sum and Variable Cash - Added option to change membership fee. The change will be recorded in Customer log.
  4. Revised Pro-Rata calculation for Deferred memberships. All Deferred payment information is displayed in Info window.
  1. Fixed problem in Customer Manager > Main > Renew Membership where the default Sale Type on Add New Membership dialogue is New Member. Fixed to set status to Renew.
  2. Fixed inconsistent use of terminology in Sale information.
  3. Joining Fee And Admin Fee part amount could be lost while user tries to change start date and some other non-related membership properties. This has been fixed.
  4. Incorrect Pro-Rata can be displayed after the membership properties (Join Fee, Start Date etc.) have been changed. Pro-Rata Fee combo box has been replaced by a text field and a check box Waive Pro-Rata. If check box has been ticked, this text will appear - "Full Pro-Rata amount is $....".
  5. There was no information in Sale Info text about initial Joining Fee, Admin and Pro-rata values. This has been added.
Add New Membership dialogue           (D#154)
  1. The Payment Plan setup option "Add Joining Fee to First DD Payment" has been changed to "Add Joining & Admin Fee to First DD Payment".
  2. Removed Deferred method option 'Continuous Payments' for the Term Payment plan (Deferred Type).
Membership Details dialog is closing after failed validation           (D#159)
The Membership Details dialogue would close after a failed validation but the invalid information was still used. This has been fixed.
Course Enrollments dialogue           (D#164)
    Interface changes:
  1. Increased dialogue size to allow more space.
  2. Added Tool bar.
  3. Modified list of students - bigger font, more details (Name, CustNo, DOB, Balance, Attendance), added icons (owing money, pending enrolment)

User and Workstation are not recorded for NO SALE transactions           (D#193)
Fixed a bug that caused the User and Workstation to not be recorded for a 'NO SALE' transaction.
Select Course and cancel button           (D#194)
Fixed a bug that caused the 'Course Enrolments' dialogue to still be displayed, despite clicking the Cancel button in the 'Select Course' dialogue.
Open Cash drawer and Allow Select Printer issue           (D#240)
The 'Allow Select Printer' dialogue would be incorrectly presented when it was required to only 'Open Cash Draw' and the docket Printer Mapping had not yet been setup. This has been fixed using the following modifications:
  1. 'Allow Printer Selection' dialogue will not be presented when only 'Open Cash Draw' action is required.
  2. A message "Docket Printer mapping has not been setup!" would be presented when loading TPOS if the Docket Printer Mapping has not yet been setup (display time is 2800 ms, or the user can click on 'Close' to close the message).

1.5 - Customer Manager

Add New Child           (F#150)
Added an option to copy Parent Customer email address when adding a new Child Customer.
Manage Decrementing Pass           (F#179)
The Manage Decrementing Pass dialogue will be displayed if a user enters customer\card number in CustNo text field (after the message "The entered number is used to reference a Decrement"), if the user enters the standalone decrementing pass reference, or if the user selects the corresponding entry in Recall Customer dialog. Please note the user has to check on option "Show standalone Decrementing Passes for the Personal customer type option" to be able to search for standalone decrements, and the option "Show deleted records (or expired Decrementing passes)" has to be checked to search on expired Decrementing Passes.
    Manage Decrementing Pass Dialogue changes:
  1. Modified Interface: added Tool bar, images and some extra information about the Decrementing Pass
  2. Added View Log feature to allow viewing the history of Expiry Date changes and "Voids".
  3. Added Print Decrementing Pass feature to allow printing a Reference docket for a Decrementing Pass docket.
  4. Modified to request an admin rights for a user to allow modifying the Expiry Date.
  5. Added a warning message to verify if a user has selected the correct Usage to void - "Are you sure you want to void the recorded usage on...".
  6. It is possible now to change the Card Number of a Standalone Decrementing Pass. The change will be logged.
  7. It is now allowed to view and modify the expired decrements. The label EXPIRED. READ-ONLY will be displayed for an expired decrementing pass. To modify the expired pass a user needs to get authorisation (it will be recorded in a log). Click on Allow Modify and if a user does have an administrative rights, the Void and Expiry Date buttons will be enabled. It is required to verify the card number of an expired Standalone decrementing pass before modifying it. If the original number has been used by another decrement\customer, the modification will not be allowed. .
Spaces in phone number           (F#280)
Not all phone number related fields allowed spaces between the numbers, this has been fixed.
Add Prospect Customer           (F#281)
Previously, when changing from each field in the Add Prospect Customer dialogue the previous information entered was forced to be capitalized. For example, typing email@qvisual.com in the email field then changing to the Notes field would force the email to become Email@qvisual.com. This has been fixed.
Convert Contacts to Personal Customer, losing Source info           (D#74)
Source information was not saved when converting a Prospect (formally Contact) to a Personal customer. This has been fixed.
Cancellation Date Validation           (D#87)
When the user cancelled a membership and selected Cancellation Date before the start date of the membership, the Cancellation Date would be set by the program to the Membership Start Date as the default behaviour. This has been changed, the user will not be allowed to continue if the cancellation date is incorrect.
Runtime error when trying to cancel printing in Customer Manager           (D#89)
A runtime error could occur when attempting to print from the Customer Manager main window (Toolbar > Print). This has been fixed.
Runtime error when user tries to add Scanned Document           (D#93)
An unexpected error could occur if a document path does not exist or permissions are not sufficient to save a Scanned Document file. The behaviour has been changed to present a user friendly message.
Customer Activity Log - Purchases           (D#104)
Fixed a bug that allowed deleted transactions to be displayed in customer activity log.
Customer Search (Recall Customer dialogue)           (D#127)
Recall Customer dialog modifications:
  1. Revised interface
  2. Increased speed search results will appear
  3. Added option to search by Home Phone
  4. Added option to Show\Hide deleted records
  5. Added option to Show\Hide the standalone decrementing passes

Contacts Log functionality has been revised:
  1. The contacts are listed in a list view, text is displayed in a text field (click on item in a list)
  2. Option to add\edit and remove entries
  3. A new field added - Contact Type
  4. A new feature has been added - Contacts Log label. Users can defined labels in System Navigator > Lookup Tables > Contacts Log Labels. It is currently only able to apply one label for a contacts log entry.
  5. Added option to Print .
Error when trying to view Corporate Customer details           (D#134)
An error could occur when trying to load a Corporate Customer when a Personal Customer was already loaded. This has been fixed.
Parent Link           (D#139)
It was previously possible to link a Parent customer to itself. This has been fixed.
Preferred Contact Method           (D#144)
There was a problem in the Mail Option dialogue that stopped the saved Contact method being displayed. The contact method details are displayed, but the corresponding option was not selected. This has been fixed.
Deprecated Pending method           (D#151)
Pending payment method has been removed from the Deferred payment method dialogue.
Amount owing for Variable Cash plan membership           (D#160)
There were two issues in Variable Cash plan memberships that have been fixed
  1. The customer was incorrectly placed in Default if Pay By Date for variable cash plan membership was "Today". Customer status should be OK if payment is due today.
  2. Amount owing could be calculated incorrectly for any date past Pay By Date.
Facility Usage TPOS described as Non-Reporting gate           (D#178)
TPOS was incorrectly being described as a Non-reporting gate in Customer Manager > Activity Log > Facility usage list. This has been fixed.
Corporate Customer details error           (D#184)
An error would occur if the user clicked on the Details button on the Package tab in Corporate Customer when there wasn't any memberships listed. This has been fixed. .
Paymethod dialogue and Invoice method           (F#298)
If the intention was to set the payment method as Invoice, but the Billing address wasn't already entered, there was no option to correct the situation when processing transactions in the Customer Manager, LTS or Bookings modules . The only option was to cancel the membership / booking / enrolment and start from scratch. We have added the ability to setup a Billing Address for a customer if the Invoice option is selected when paying for a Booking through the Customer Navigator Pay Method dialogue.
Prospect customers modifications           (F#311)
  1. The tab Prospect Details has been removed
  2. The Action Details frame (Set Next Date) has been moved to the Contact Log tab

The search functionality has been modified to allow to search for any number entered by a user for a Club or Corporate customer.

Public Holidays
Added the option not to run a class on Public Holidays - Add Course wizard > Copy Program wizard. The option not to run classes on public holidays is in Facility Navigator.

Added the new payment options Other 2 and Other 3 to the Enrolment payment > Payment methods dialogue.
Error saving course details           (D#24)
An error could occur while saving Course details (Course Wizard): "Service Failed to Save Course. Parameter object is improperly defined. Inconsistent or incomplete information was provided." This has been fixed.
Course Transfer Wizard runtime Error in TPOS           (D#66)
An error could occur while processing a course transfer if the effective date of the course fees was after the course start date. To fix this the course transfer function has been modified:
  1. To get course pricing details effective at enrolment start date rather then course start date
  2. To present the message "Unable to complete course transfer. Missing Course Price details. Please refer to Facility Navigator to correct the problem." if the course pricing is missing. New Course define routine in Create Course Wizard has been modified to prevent a new course definition if the course fee details have not been setup yet.
Course Description, incorrect number of classes displayed           (D#140)
There was a bug that sometimes caused an incorrect number of classes to be displayed for a course in LTS > Course Description. This has been fixed.

1.7 - Facility Navigator

Fixed Term Membership option to charge fixed package fee           (F#238)
Added a new option for the Fixed Term Packages: Always charge full Package Fee. If selected, the membership package fee will be always set to full fee (payment plan properties). If not selected, the pro-rata would be calculated based on membership start date.
Membership Type Setup           (D#110)
Added validation for the Fixed Term settings in Facility Navigator. User must enter Fixed term start and end dates. Modified the Fixed Term Details dialogue to remove the Variable Term option
Fixed Term Payment Plan incorrectly allows Deferred option Fixed number of payments           (D#156)
Previously the Payment Plan wizard allowed the Fixed Term membership type to set Deferred option to Fixed number of payments. Considering the actual duration of the Fixed term membership is unknown, this option cannot be used for this type of membership. This has been fixed, a user is now unable to setup a Deferred option Fixed number of payments for the payment plans for the Fixed Term membership type.
Fixed Term membership type property           (D#158)
  1. Fixed Term Package property cannot be changed (the flag will be not Enabled) if at least one Payment Plan has been created already for this membership type. The message "Please remember to set Fixed Term Package property for the package before you add Payment Plan." will be presented for the membership package type if there are no payment plans attached and user is going to change Enable Fixed Term flag. The message "This package has one or more payment plans attached. The Fixed Term Package property cannot be modified." will be presented for the membership package type if there is at least one payment plan has been attached.
  2. Membership Package Type wizard has been modified to allow to set Fixed Term Package property during the setup.
Price Table price unit information
Added label to the Price Table dialogue to display the details about the price unit (applies to Space Slot Bookable activities). Example: Price unit is 30 minutes.

1.8 - Access Control

Type Description
Access Control sounds           (F#239)
Access Control has been enhanced with the addition of sounds. These sounds are enabled and configured in System Navigator. Two sounds are provided with LogiQ - Happy Birthday and No Access, with additional sounds able to be added by the user. Happy Birthday will play if a customer with their birthdate set in Customer Manager is entered in Access Control on that date. No Access will play if the customer entered in Access Control has no valid reason or is denied entry.
Access Control birthday picture           (F#239)
Access Control has been enhanced with the addition of a picture that appears if a customer with their birthdate set in Customer Manager is entered in Access Control on that date.
Multiple reasons to enter           (F#239)
Allow a customer to access venue if this customer holds more then one membership. If System Navigator setting "Membership usage and access when customer holds multiple packages" has been set to YES, the customer would be allowed to access the venue even if the customer holds currently more then one membership. The usage will be registered for the membership with the earliest Membership Start Date\Date created.
Unable to locate customer message           (F#239)
To display label Access Denied for cases of "Unable to locate customer" or "Unable to load customer details".
Corporate\Club\Prospect swipes generate error           (D#189)
Fixed the bug that caused the error message "Operation is not allowed when the object is closed" to appear when a Corporate, Club or Prospect customer was swiped into Access Control.
Card Number error           (D#197)
Fixed an error that would occur when the card number length exceeded 50 characters or the string had characters like '##' or '@@".

1.9 - Bookings

Type Description
Moving Bookings           (F#272)
Previously when moving a Booking from one day to another it forced the user to select the same Area. We have added an option to select a new Area when moving Bookings to allow more flexibility.
Repeat Booking Creation Wizard Error while saving details           (D#4)
An error could occur while saving Repeat Bookings details in Repeat Booking Creation Wizard when Bookings total duration exceeded 32767 minutes. This has been fixed.
Single Booking Description           (D#116)
An error caused Single Booking description on Booking Sheet to not change if casual customer or personal customer Surname and/or First name had been modified. This has been fixed.
Change Price and reason Other           (D#150)
A user selects reason "Other" from the drop-down box and does enter the reason text in the text box, but the price change would still not be allowed and the message "Reason for price change must be entered when reason Other is selected" would be displayed". This has been Fixed, the comments text box is not displayed so the reason 'Other' cannot be selected.
Update Session - location opening finish time is not displayed           (D#167)
Repeat Booking Properties had a problem where the Location Opening finish time was not displayed in a drop-down list for the booking End time on the Update Session dialogue. This has been fixed.
Move Booking to the selected time           (D#173)
Found an issue when selecting a new booking Start time - It wouldn’t allow the moved booking to start on the 30min increment if the booking was 1.5 hrs in length. The user could only move the booking to start every 1.5 hrs instead of being able to push it back 30mins. This has been fixed - It is now allowed to edit the start time manually.
Repeat Booking Wizard, Update Session (Book properties)           (D#174)
Booking Slot duration rather the Display Slot duration is used for Start and End Times lists. Also, it is allowed to schedule any number of Booking slots starting from any time defined by Display Slot Duration (the Start Times lists start time is Opening time and then it increments by Display Slot durations interval specified for this activity - location link in Facility Navigator).
Repeat Booking Wizard, Start/End times           (D#174)
We have reinforced validation for the Start \End Times:
  1. The Start and End times must be valid values
  2. The End Time must be after the Start Times
  3. The booking duration must be greater then the Booking Slot duration
  4. The Booking Duration must be represented as an integer number of Booking Slots

These validations apply to Repeat booking wizard and Booking Properties > Update Session.
Link to Customer Manager from Bookings module           (F#318)
Added link to the Customer Manager module in Single Booking, Repeat Bookings Wizard and Repeat Bookings Properties dialogues. The customer will be automatically loaded in Customer Manager if the customer is known (personal customer type only).
Warning Message when Booking for a past date           (F#329)
A warning message will be displayed when the user tries to create a Booking for a past date.

An error would occur when the user tried to process a Declaration or Transaction adjustment and Reconcilliation Id was more than 32,767. This has been fixed.
Negative Amount and text change           (F#143)
Added the option to enter negative amounts for EFTPOS entries. And changed the option "Only administrators may enter reconciliation declaration adjustments." to "Only administrators may enter reconciliation adjustments." : Administrator authority would be required for declaration, transaction and float amount adjustment.
Incorrect Sort Order in Users List in Reconcile cashier Dialogue           (F#144)
Changed the sort order in the User Names list for the reconciliation option New. The user names are now sorted in alphabetical order.
Reconcile Cashier and reconciliation dates           (F#148)
Added check box "Show All Dates" to display the reconciliation dates for the last 3 months or all reconciliation dates for a user.

1.11 - Miscellaneous / General Changes

The LogiQ interface has seen some major improvements, from button re-positioning for ease of use to the addition of colors and pictures and grammatical clarification. Major changes / additions are detailed in their respective entries. Some notable changes are listed below:
  1. Changed Search Buttons style to a looking glass icon instead of "..."
  2. Removed button Loyalty from Customer Profile window in TPOS (The functionality has not been implemented).
  3. The colour for mappings in Workstation printers mapping list with the status "READY" was mistakenly set to red. They have been changed to black as originally intended.
  4. LTS Accept Payment dialogue interface changes to improve usability
  5. Changed the setting name "Print a docket for decrement tickets" to "Print a docket for decrement ticket usage"
  6. Course Transfer Wizard - modified interface: Customer name format changed from [Surname][First Name] to [First Name][Surname]. Also changed font and background colour for customer name label.
  7. E-Form changes - The 'Source' field has been moved closer to the top of the page and the tab order has been fixed to shift left to right.
  8. Removed button Confirm Expiry from TPOS > Customer Profile > Customer Status (The functionality has not been implemented).
  9. LTS > Transfer > Customer Transfer dialogue - Page 1 & 3 of wizard: The entry field name has been changed from Refund Amount to Transfer Amount
  10. Facility Navigator > Activity-Location link properties - The label has been changed from "Sub-locations where Activity takes place" to "Areas where Activity takes place". Sub-Locations are the 'bricks' to build an AREA. A user can select any number of Sub-Locations to form the AREA (and give it a name).

"Printer errors           (D#78, 80)
There was an error that caused the cash drawer to open and a receipt to be printed even if 'cancel' was pressed when asked for a printer to print the receipt docket to. This has been fixed.
Run-Time error while LogiQ tries to set the printer           (D#81)
The LogiQ Printer selection routine has been revised to avoid run-time errors when windows printer has not been setup or printer is not available.
Run-Time error loading Personal E-form           (D#90)
An error could occur while loading the e-form if a Venue image had been specified (refer to System Navigator), but the file could not be accessed. This has fixed.
Installing a Database on SQL 2005 problems           (D#169)
Various issues have been addressed in order to ensure a LogiQ database may be installed using Windows SQL 2005.

1.12 - Pre-Sale

Type Description
New Feature - Pre-Sale
We have introduced a great new feature into version 5.0.0.0 - Pre-Sale.

Any Memberships sold while in Pre-Sale mode are placed into a 'pending' state, no money is exchanged but the normal Membership process is completed (customer details, package selection etc). The next time that customer is entered when LogiQ is in normal mode (non-Pre-Sell), LogiQ will display the message "Customer has Pre-Sale transactions". The Pre-Sale transactions will be displayed in TPOS and are then ready to be processed. The User can either complete the process and finish the transactions, (the membership will be purchased as normal), cancel the Pre-Sale transactions or add new purchases. If the customer is unable to complete the transaction at that time the User can cancel the Pre-Sale transactions and process them later (Every time a customer with Pre-Sale transactions is loaded in TPOS the Pre-Sale transactions are shown).

Pending Pre-Sale transactions can also be seen in Customer Manager > Membership tab. Pre-sale memberships will display the label [PRESALE], a "?" icon, and the membership description label will have a fore-colour of red.

A new report has also been added, Pre-Sale Memberships, to Report Centre > Membership tab. This report has multiple fields including - Package Name / Purchase Date / Membership Start Date, etc

Using Pre-Sale mode

Before we create a Pre-Sale User Group take a moment to consider how you wish to use this feature. Perhaps you have special promotional Memberships on offer? You may even have a range of merchandise for sale at a special price at the Pre-Sale location? It is important to note that Pre-Sale mode limits access to the modules TPOS, Customer Manager, Report Centre & Access Control. So any preparation will need to made in advance. The Change User Group button on Activity Desktop will come in handy here as it will allow you to change to a User Group with full access in order to make any amendments if needed.

You can activate Pre-Sale mode in any User Group but we recommend creating a Pre-Sale User Group to keep things easy to manage. To create a Pre-Sale User Group start in System Navigator. Click Add > User Group. Create User Group as normal and ensure that you tick the option TPOS Membership Pre-Sale mode. When selecting the appropriate TPOS Tabs (Setup TPOS tabs button) note that selecting a tab used in another User Group will display the same range of buttons. This can be a great time saver. For example, if you already have a tab with your Merchandise on it, but only want to sell a certain range of stock, simply select that TPOS tab and then once you have completed creating your Pre-Sale User Group switch to it. Open TPOS (Pre-Sale mode is indicated by the text 'Pre-Sale mode' in red, under '[user] logged on' text), and make any button you don't wish to allow access to Invisible (TPOS > Setup > Button Type).

Selling a membership in Pre-Sale mode is slightly different than normal. Process the membership sale as normal but instead of finishing the transaction with the Cash, EftPOS, or Cheque buttons, use the 'Pre-Sale' button that now appears in the bottom right hand corner of the number pad. TPOS will ask if you wish to print a receipt and then finish the transaction. Any Memberships sold while in Pre-Sale mode are placed into a 'pending' state.
